When publishing records in SMU’s Research Data Repository (RDR), you have options to restrict access to your data files while still making the metadata publicly available. This allows you to control who can view or download the files based on your project needs. Here are the types of restricted access you can apply:

  • Embargo: This option lets you set a temporary restriction period, during which the files will remain inaccessible to the public. After the embargo period ends, the data files automatically become openly accessible.

  • Permanent Embargo: If you want to restrict access indefinitely, you can apply a permanent embargo. In this case, your files remain inaccessible to the public, while the metadata remains visible to allow for discoverability.

  • Access to Logged-In Users of SMU RDR: You can limit access to users logged into the SMU RDR system. This ensures that only authenticated users affiliated with SMU can access the data, adding a layer of security while keeping it within the institution.

  • Access to a Specific Group (e.g., users from LKCSB): You also have the flexibility to restrict access to specific groups within SMU, such as users from Lee Kong Chian School of Business (LKCSB). This level of restriction can be useful for projects that require data to remain within a particular department or research group.

To configure these settings, select "Add embargo and restricted access" at the record editing page.
